One of the most stressful parts of moving can be finalizing the actual moving day. Even if you are just moving locally, moving a little at a time, there is generally one big moving day where you get the essentials moved and begin living at your new residence. Sometimes everything just seems uncertain, and many feel unable to pick a date until all of a sudden everything falls into place at once and you’re in a rush. I’m going to provide a guide for you to be able to book your move in advance and even if you truly don’t have a moving date go over how to be as ready as possible so as soon as you have the green light to move in the rest of the dominos will fall right into place.
The sweet spot in booking your move ahead of time right about 30 days from your desired moving date. When we say booking 30 days out this means you need to start doing your research and getting estimates 1-2 weeks before that. Once you get down to within 2 weeks of your move date you start to see very limited availability, if any at all. For small moves like a local apartment move you may be able to squeeze it in but larger house moves of 2,000-3,000Sq ft or larger homes, companies may not be able to get in for 2-3 weeks. This year in particular we have seen much more hesitation to book and waiting to the last minute to schedule. If you have flexibility in your move date this may help you get on the schedule with shorter notice but if you need a peak day like Friday/Saturday or end of the month spot, those are usually booked full weeks in advance, especially during the busy moving season of summer.
Why Booking Early Matters
Booking early has many perks with the biggest being peace of mind. Some of the other smaller details that booking early allows is for you to secure a morning arrival window and a fresh crew before the heat of the day hits, you will get to have your pick of what day works best for your move as well as much more time to get packed, get boxes and stay in communication with your moving company to ensure everyone is on the same page come move day for an easy stress free move. At Tropic Moving we touch base with clients that book 2+ weeks ahead of time multiple times in between booking and their move day. This allows us to update anything that may have changed from the original estimate. If our clients end up needing more or less work than originally estimated as well as if they end up needing services not originally booked like packing or junk removal.
When Is Moving Season in Brevard County?
Moving season in Brevard County is Memorial Day-Labor Day. Just like the rest of the country things heat up in all of Brevard especially Melbourne and Viera, Florida. This is when school is out, interstate moving cranks up with warmer weather throughout the country and it seems like just about everyone who is renting, has the end of their lease up. Home closings seem to spike as well which puts movers in a frenzy of trying to keep up. Typically Fall and Spring have moderate demand where you can still call around within 2 weeks and likely find something, and winter is usually the easiest to schedule with not much action coming from the north and just local movement in Florida keeping the industry flowing. End-of-Month vs Mid-Month Moves
Typically the last 10 days of the month is a big rush to get the month closed out. Many trying to not double dip on another month of rent where they’re at and get moved in before the 1st. After the 15th of the month end of month is just about filled up for us. This sometimes can overflow into the first few days or week of the next month but then usually falls on the early/middle of the month. If you are able to work your move in middle of the month you may be able to get a better deal on a larger crew or extra services like packing/boxes. This middle of the month is usually when we are able to service same day/next day moves that come in last minute. Otherwise the end of the month most movers as well as us are booked so solid there is no room to share helping last minute or to even squeeze in a small move. Can You Book Movers Last Minute?
You can try but come end of the month during the summer it can be impossible and you end up with a crew you would not have otherwise hired. That’s typically a starting point for the “horror stories” you hear about in the industry. Waiting to book is certainly rolling the dice on what may be available. If you are truly unsure of a moving date we recommend getting an estimate together and having a number one, two and three choice for movers. Have estimates from each company and communicate throughout the process. Sometimes it may be worth losing a small deposit to stay booked then to risk trying to book last minute if you do get the green light to move in after a period of uncertainty.
Why Customers Are Waiting Longer to Book in 2026
One of the toughest situations to navigate is selling a house and timing up with new construction. We have many clients moving to a new construction home in Viera and the sale of their current home essentially leaves them with no options but to wait until the last minute hoping the certificate of occupancy is issued to move in, otherwise they are needing to move into a storage unit until the house is ready.
At Tropic Moving we have certainly noticed a trend in delayed bookings this year. Whether its unsure of closing dates, employment changes, lease approvals or even evictions, which have spiked this summer. We have been able to accommodate many but we have also received many last minute calls that simply waited, then wanted to move in as soon as they get access to their new house, but we simply cant accommodate a move for at least two weeks due to the size of the move. This also creates uncertainty where we are unable to get out for an on site estimate to properly evaluate a move and creates uncertainty of how much help is needed, if they are fully packed, etc.
It’s not that customers want to wait but seem to feel they are stuck between if everything is going to happen or not and don’t want to have to cancel on a company or lose a deposit. The biggest thing I recommend is even if you are unsure about when your move is, you should still call and get everything together for a moving estimate. This way if you do need to schedule and move forward with services, you have an estimate and the moving company knows how large of a moving job it is and what resources need to be allocated for your move to ensure it is scheduled properly and goes as smoothly as possible and avoids the last minute scramble to get an estimate together for a last minute service.
Situations That Require Booking Earlier
There are certain situations that we simply cant get in last minute and NEED 2 weeks or more notice to accommodate. Situations like a Beach Condo in Cocoa Beach, requiring a certificate of insurance, an elevator reservation that is booked out or even long distance move from Melbourne to Downtown Miami that have stricter restrictions that need to be accounted for before moving in. There are sometimes factors that no matter what availability we have, other factors come into play and need to be accounted for to get the move completed to the new residence and booking ahead is a must.
How to Compare Estimates When Booking a Moving Company
When getting an estimate, it should be a simple intake call followed by an on site estimate scheduled or a quick phone quote computed and you should receive an estimate in writing shortly after, within 5-10 minutes. We send links to our clients estimates and then can go in and electronically sign these documents as well and agree to the terms. Some companies don’t send an estimate in writing or after an on site estimate provide the estimate quickly. They send it later and sometimes keeps clients waiting for days. I believe any company who knows what they’re doing can provide a quick efficient quote on a residential move.
Moving estimates are not an apples to apples comparison and you also need to look out for shady companies charging huge deposits to book. Any reputable company is booking with a small deposit and some major van line companies are even booking with no deposits. At Tropic Moving our view is that we take a small deposit as we’re also committing to your move for our crew that day as well. It’s something to hold the moving company accountable as well. We do take larger deposits closer to 10% on large long distance moves. The deposit request is something to definitely consider as well when getting an estimate.
Tropic’s Personal Recommendation
What we recommend is to get three estimates 6 weeks out from your estimated move date. This allows plenty of time to have companies out, evaluate estimates without the stress of a time crunch to make the best decision for you and your family. From there rank the estimates as a first, second and third choice. You should schedule with the company you have as your number one choice 4 weeks prior to your move date. This allows you to have the back up estimates so if say something changes within a week of your move and the company you are booked with cant accommodate the change, you still have two companies who already quoted the job that you can quickly pivot to for service. This gives you a plan B and plan C in a “worst case scenario.”
This lets you plan ahead and avoid stress. We even have a great article on local companies. If you truly don’t have confirmation you can move in and are stuck in a waiting phase, your two options are 1) Book your move and hope it works out and you may lose a small deposit or 2) Get 3-5 estimates and wait until you have confirmation and then run down the list to book based on how you ranked the companies and book with the first one that can fit you on their schedule. Sometimes bigger companies with larger fleets anticipate calls close to the move date and have extra crews ready to pick it up.
